Raid-Helper + ShotCaller: Setting Up Raid Nights on Discord

Raid-Helper and ShotCaller cover different halves of a raid night on Discord. Raid-Helper is a sign-up and scheduling bot: it posts your raid as an event, collects sign-ups by class and role, and gives you a roster to plan groups from. ShotCaller handles voice once the raid starts, relaying the raid leader's voice from one channel into every party channel so each group keeps its own chat. Raid-Helper gets people to the raid, and ShotCaller keeps them hearing the same calls once they're in it.

This guide shows how to use the two together, from posting the event to running comms during the fight.

What each bot does

Raid night job Raid-Helper ShotCaller
Post the raid as an event in a channel Yes No
Collect sign-ups by class and role Yes No
Plan the roster and groups Yes No
Reminders and announcements before the raid Yes, with options you configure No
Web dashboard For events and templates For voice channels and roles
Carry the raid leader's voice into every party channel No Yes
Let party leaders talk back to the raid leader No Yes, with Discord's priority key

The two bots don't connect to each other, and they don't need to. You read the roster in Raid-Helper, build your party channels to match, and set those channels up once in ShotCaller.

Before raid night: post the event in Raid-Helper

Raid-Helper's job is getting the right people to sign up for the right slots. A typical flow looks like this:

  1. Add Raid-Helper to your server from raid-helper.dev.
  2. Create an event for the raid with a template that fits your game, then set the date, time and the channel it posts in.
  3. Members click to sign up and pick their class or role. The event post updates as people join, so officers can see the composition fill in.
  4. Before the raid, use Raid-Helper's reminder and announcement options so people show up on time.

Raid-Helper's commands and options change over time, so check its documentation on raid-helper.dev for the current steps. Its web dashboard is where you manage events and templates.

Turn the roster into voice channels

When sign-ups close, look at the roster and decide how many groups you'll run. That decides your voice layout: one channel for the raid leader and one channel per party.

Sign-ups Parties Voice channels ShotCaller plan
Around 20 4 Raid leader + 4 party channels 4 channels, $5/mo
Around 40 8 Raid leader + 8 party channels 8 channels, $8/mo
Around 60 12 Raid leader + 12 party channels 12 channels, $15/mo
Two guilds together Up to 24 Party channels on both servers Alliance, $25/mo

The numbers assume parties of five. Party sizes differ by game, so count your actual groups. Every plan includes a 7-day free trial, and the pricing page has current details.

Name your voice channels after the groups in your roster (Group 1, Group 2, or Tanks, Healers, Ranged if your raid splits by role). When the roster says "Group 3", raiders should be able to find the matching channel without asking. Put all of them in one category so the raid layout reads as a single block in the channel list.

Give party leaders Priority Speaker

Your roster also tells you who leads each party. Those leaders need one Discord permission so they can talk back to the raid leader during the fight.

  1. In Server Settings → Roles, create a role such as Party Leader.
  2. Turn on Priority Speaker for that role (Discord's guide covers the server and channel options).
  3. Assign the role to the party leaders on this week's roster.

Each party leader then switches to Push to Talk and binds two keys in Discord's keybind settings: Push to Talk (Normal) to talk to their party and Push to Talk (Priority) to reach the raid leader too. Priority Speaker only works in the Discord desktop app. Two-Way Discord Voice Relay: Squad Leaders Talk Back covers the keybinds in detail.

Set up ShotCaller once

You only do this the first time:

  1. Sign in to the ShotCaller dashboard with Discord and pick your server.
  2. Choose the raid leader's voice channel as the shotcaller channel.
  3. Select the party channels that should hear the raid leader.
  4. Choose the shotcaller roles. Put your raid leader on the primary role and a backup caller on the secondary role. If both speak at the same time, the primary role takes priority.
  5. Invite the ShotCaller bots to your server.
  6. Type /start to bring the relay up.

The configuration docs explain each setting, and the ShotCaller Discord bot guide has screenshots of the whole flow. For more on how the relay itself works, see How to Broadcast One Voice to Multiple Discord Channels.

Raid night, step by step

Before the pull

Raid-Helper's reminder goes out to the people who signed up. Officers post the final groups, and the raid leader types /start so the bots join their channels. Raiders join the party channel that matches their group in the roster.

During the fight

The raid leader talks in the shotcaller channel, and the call plays in every party channel at once. ShotCaller lists relay latency as under 100ms. Party members keep talking to their own group, and the raid leader's calls play over that chat. Nobody has to install anything or leave their party channel.

When a party leader spots something the raid leader needs, such as an add spawning, a healer down or a missed mechanic, they hold their priority key. The raid leader hears it, and so does that party. Other parties don't. Routine party chatter stays on the normal key and never reaches the raid leader.

If the raid leader dies or disconnects, the backup caller on the secondary role keeps calling and every party still hears them.

After the raid

Next week, post a new event in Raid-Helper and update the Party Leader role for the new roster. If your party channels stay the same, the ShotCaller setup doesn't change. Type /start and you're live.

Common raid night problems

  • Raiders in the wrong channel: match channel names exactly to the roster groups, and post the group list in the event thread or an officer message before the pull.
  • A party leader isn't heard by the raid leader: check that they have the Party Leader role, Push to Talk mode, a Push to Talk (Priority) keybind and the desktop app. The Priority Speaker guide has a full checklist.
  • Someone tries to sit in two channels to hear the raid leader: tell them it isn't needed, and that Discord doesn't allow it anyway. Can You Be in Two Discord Calls at Once? explains why.
  • An allied guild joins the raid: on the Alliance plan, their members stay on their own server and the relay reaches their party channels. The cross-server voice guide shows the setup.

Raid setups by game

  • Throne and Liberty: guilds schedule sieges and boonstone fights with a sign-up bot, then relay the commander into every party channel.
  • Where Winds Meet: 30v30 guild wars split players across several groups, and one caller has to reach all of them.
  • Black Desert: node war and siege rosters fill up ahead of time, and the caller's voice reaches each party channel during the war.

FAQ

Does Raid-Helper handle voice chat?

No. Raid-Helper is a sign-up and scheduling bot. It manages events, sign-ups and rosters. To carry the raid leader's voice into several party channels during the raid, you need a voice relay bot such as ShotCaller.

Do Raid-Helper and ShotCaller work together?

They run side by side on the same server without any setup between them. You use the Raid-Helper roster to decide your groups, create matching voice channels, and select those channels in the ShotCaller dashboard.

Do raiders need to install anything?

No. Raiders sign up through Raid-Helper's event post and join their party's voice channel as usual. They hear the raid leader through ShotCaller's speaker bot.

How many voice channels does my raid need?

One for the raid leader and one for each party. Count the groups in your roster and pick the ShotCaller plan that covers that many party channels: 4, 8 or 12 on one server, or 24 across two servers on the Alliance plan.

Can party leaders talk to the raid leader during the fight?

Yes. Give party leaders Discord's Priority Speaker permission. When they hold Push to Talk (Priority), their voice reaches the raid leader's channel as well as their own party.

Can I run a raid with another guild's members?

Yes. The Alliance plan relays your raid leader into party channels on your server and one allied server. The allied server doesn't need a subscription.

Is there a free trial?

Yes. Every ShotCaller plan starts with a 7-day free trial, so you can run a full raid night before paying.

Set up your next raid night

Post the raid in Raid-Helper, build party channels from the roster, and let ShotCaller carry the raid leader's calls into every one of them. Set up the ShotCaller Discord bot before your next raid.
